What is Video Window Event?

Video Window Event is a product that creates a live video connection between a trade show or exhibition stand and an office, showroom, studio, or factory. It allows trade show visitors to virtually step into the company’s space and interact with showroom staff in real time, without either party leaving their location.

Why use Video Window Event instead of Teams / Zoom / Google?

Video Window Event provides an always-on, no-login, immersive experience at a booth; visitors simply walk up, put on headphones, and are immediately connected to the showroom. It is designed for public-facing, drop-in interactions that traditional video conferencing tools are not built for.

How is the setup different from standard Video Window?

Video Window Event is set up at a trade show booth with a large screen and headphones for visitors. At the other end (the showroom), the team uses a movable camera to guide visitors around. The booth end does not require a permanent fixed installation, it can be a temporary or movable event-ready installation. 

How is Video Window Event installed?

A large screen is installed at the exhibition stand. The Video Window software connects it to the showroom end. At the showroom, the team has a video setup with a movable camera. The system is always live during event hours  no dialling or setup is needed once installed.

What hardware is required?

At the event booth: a large screen, a camera, and headphones for visitors.

At the showroom: a video setup with a movable/gimbal camera for guided tours. 

Standard Video Window hardware specs apply (PC/Mac/Linux with minimum i5/Ryzen 5 CPU, 8 GB RAM).

Does it need a touchscreen?

A touchscreen is not required for Video Window Event. Visitors interact via headphones for audio. The screen displays the live showroom feed.

Can I use it without a touchscreen?

Yes, Video Window Event can operate without a touchscreen at the booth end.

How does Video Window handle poor bandwidth at trade shows?

Video Window is designed to be resilient. It can operate on as low as 2 Mbps, adjusting quality to available bandwidth. A wired connection at the booth is strongly recommended for events. For very poor connectivity, contact Video Window for optimisation options.

What setups are typically used at the showroom end?

At the showroom, the team typically uses a movable or gimbal-mounted camera to guide visitors around the space showing products up close, demonstrating processes, walking through displays or equipment, and answering questions live. The showroom team sees trade show visitors in real time on their own Video Window screen.

What if I want multiple showrooms connected?

What is a gimbal and how is it used?

A gimbal is a motorised stabilising mount for a camera that allows smooth, controlled movement in any direction. At the showroom end of Video Window Event, a gimbal-mounted camera allows staff to give guided virtual tours panning, tilting, and moving the camera to show visitors different parts of the space in a smooth, professional way.

If using headphones, how do I maintain hygiene?

Disposable hygienic headphone covers or ear cushion covers are recommended for public-facing event use. These are widely available and inexpensive. Alternatively, single-use earbuds can be offered to visitors.

How does Digital Signage work with Video Window Event?

When the Video Window Event connection is not in active use, digital signage content can be displayed on the booth screen. This keeps the display active and informative even between visitor interactions.

What signage platform is required?

No specific third-party signage platform is required. Any web URL can be used for digital signage content.
