Video Window Admin Portal Settings Reference

Groups #

A Group is a set of devices and remote users linked together in one Video Window instance.  Devices within a group are always connected when active. 

A new group can be created by clicking on the blue”+” icon on the bottom of the groups tab.

Group NameThis is the name of the Group 
Rotation IntervalIf Multiple Device are online as part of the same group, this is the time interval between switching the default view from one device to another. 

Devices #

Devices meant to be always on units connected to an instance of Video Window. Primarily used to connect office to office, and the most common hardware is a large touchscreen or TV.

A new device can be added by clicking on the blue”+” icon on the bottom of the devices tab. This is limited by the number of devices on your licence, please contact your account manager to change this limit.

Device NameThis is the name of the “Office Device” 
Device GroupThis is the Group or Groups that the device is associated withHome Group – the default   group the device will join when logging in. The device can then switch to other allowed Groups via the Groups Button.Remove – Click to remove the device from a groupSet as Home Group – click to set that group as the home group. 
Regenerate Activation CodeClick on this to generate a new code that is used to login to video window 
Restart Video WindowClick to remotely re-start the video window instance on that device. 

Details #

CountryThis is the country where the Device is located – this information shows on the screen in the top right-hand corner 
CityThis is the city where the device is located – this information shows on the screen in the top right-hand cornerCreate City – Click on this if a city does not exist in the pre-populated list
FloorOptional field – this information would then show on the screen in the top right-hand corner 
NicknameOptional field – this information would then show on the screen in the top right-hand corner

Hours of operation #

Time ZoneTime Zone of that particular Device and that time then shows on the screen in the top right-hand cornerDays are measured in the Local Time of the Device”The times can be set to put the Device to sleep between certain times – or you can set the system to just run 24/7. The on/off toggle will enable/disable that Device on a particular day. 

Options #

Show Join/Leave Audio ButtonIf set to “YES” the green “Join Audio” button will display on the screen.  Users then press the “Join Audio” button to join a conversation If set to “NO”, a separate set of options will present themselves allowing the admin to choose how the Audio will operate. In this mode, audio output is always on or off. Microphone can be further customized to be always on, always off, or manually toggled.Optional settings when set to “NO”:
Speaker – Can be set to “Always On” or “Always OFF” Show Microphone Button – “YES” or “NO” If “YES” then then this is used as a manual “Mute / Unmute” of the system
If “NO” then you need to make a choice – is the Mic always on, or always off.
Show TimerWhen output audio/speakers are active there is a timer that will auto drop audio at the end of the timer.Default is 10 minutes.  If this option is set to “NO” the auto-mute feature will not work. Option is only active when Join/Leave audio is set to “Yes”, or Show Microphone is set to “Yes” 
Timer Limit (minutes)Time duration before audio output is dropped, if timer in activeDefault timer duration is 10 minutes
Show View ButtonThis option allows you to display or hide the “Tile View / Normal View” button on the screen.When set to “NO” the system will ask which view is required, “Tile View” or “Normal View
Show Knock ButtonThis option allows you to display or hide the “Knock” button on the screen.The Knock button allows the user to “knock” another office device to draw attention. Knocking results in audio being played that sounds like three loud knocks.
Show Groups ButtonThis option allows you to display or hide the “Groups” button on the screen.The groups button allows the user to switch the device group. If there is only one group allocated to that device the groups button will be hidden as default.
Show Whiteboard ButtonThis option allows you to display or hide the “Whiteboard” button on the screen.If the Whiteboard button is greyed then the whiteboard is not available – please contact your account manager to activate this service.
Force full screenVideo Window is designed to be forced to full screen and be the only software running on a large format display.  There are a few use cases where a “floating window” is required – and in that case if this option is set to “NO” the system will no longer be forced to full screen
Remove PIP Video feeds This is a future development and not in use yet
Remove self-view This is a future development and not in use yet
Allow pinningEnables the user to “pin” the video from another device and cancels out the effect of group rotationThis is a future development and not in use yet
Allow remote control of audio by other devicesThis allows the device to be un-muted by a user at a different Video Window.  Select “NO” to prevent un-muting by a 3rd party.
Maximum resolutionOptions are 720p, 1080p, 4KUser control of device resolution is a future development and not in use yet. Please contact your account manager to if you want more details.
Turn off display power during sleep mode (On supported devices) This is a future development and not in use yet
Synchronize join and leave audio with other devices in group This is a future development and not in use yet

External Calling  #

This feature allows a Video Window device or remote user to drop out of the active Video Window group and join an external video call such as a Teams Meeting or a Zoom call.

External CallingEnables External Calling. When enabled further options appear that allow the admin to enabled the services allowed for external callingServices supported for external calling-Microsoft Team-Zoom-Google Meet-WebexEach option and be toggled “Yes” or “No” enabling that service as needed

User Interface #

When “Hide User Interface elements” is set to “Yes”, certain User Interface Elements can be hidden to make the user interface simpler.

Hide self-viewRemoves the view from the camera of the device from being shown
Hide buttonsRemoves the control buttons on the left side of the Video Window UI
Hide video trayRemoves the video feed thumbnails of other devices and remote users in the Video Window Group and only shows the current active devices
Hide other textRemoves the text of the right side of the Video Window UI that displays information such as Device Name, Country, and Time, etc
Hide logosRemoves any Logos on the UI

Censorship #

When Censorship is enabled, the screen will be blurred via an AI image recognition when certain images are detected on screen. This is a future development and not in use yet

Browser #

When Allow Web Brower is set to “Yes” , the user can open a web browser window on the device.

Set Specific URL?If Yes, the browser page opens to a specific URLIf yes, the URL for Browser setting allows the user to set the default page 
Custom browser button nameThis will add a name to the browser button on the screen.Most useful when using a Specific URL, so that the button can indicate the custom nature of the browser button
Allow Search barAllow or Deny access to the search bar on the browser screen
Allow new tabsAllow or Deny new tabs to be activated on the browser screenIf disabled, only one browser page can be active
Allow KeyboardAllow or Deny keyboard access on the browser screenIf disabled, user will have to navigate via touchscreen or hardware keyboard.Recommended to use if using a specific URL and do not want user to navigate to other websites
Set session expiration time?Once activating the browser – this option will allow for a timer and will close the browser after a specified timeTimer – Sets the duration the page is open for
Browser styleSets how the browser window appears on the UIOverlay – a pop-up appearing over the main UISide-by-side – split screen view with the main UIReplace – the main UI is replaced the browser window
Enable Cache?If “YES” is selected the system will save progress and browsing in cache

Add additional browser buttonMultiple browsers can be added to the Video Window – this button will create a new “Browser” button and a new set of options for that browser iconRemove additional button – Disables the additional browser sessions from the UI

Digital Signage #

Video Window allows for the device to be used as signage. Uses include advertising, information sharing, notifications, etc. This is done by setting “Allow Digital signage” to “Yes”  and setting up your signage options via a third party digital signage service that allows browser based signage.

URL for Digital SignageThe third-party signage service will provide a URL that is unique to the signage the user has set upPlease contact your account manager to discuss whether your current Signage provider has this function, or to purchase a Digital Signage platform through us.
Timer till digital signageThis timer dictates how long a Video Window has to be inactive before the Digital Signage comes onto the screen
Duration of digital signageThis timer dictates how long the Digital Signage will run for before turning off
Signage styleSets how the signage appears on the UIOverlay – a pop-up appearing over the main UISide-by-side – split screen view with the main UI. Digital Signage to screen ratio sets how much of the screen is taken up by the signageReplace – the main UI is replaced the signage
Show Digital signage when odd pairingIf running an odd number of Video Window Office Devices – you can choose to have the “odd” screen in rotation show Digital Signage.  Please contact Customer Service to explain.
Show Digital signage when sleep modeWhen running in sleep mode the screens can show Digital Signage if selected to “YES”

People #

People is the grouped designation for individual users (via email addresses) that have some function on the Video Window account, either as an administrator or remote worker.

Administrators are users who access to the Video Window admin panel and can make changes to the Video Window account.

A Remote Worker is a Video Window that license has the option for the video to be on or off, is designed for a tablet or smaller device and runs at a High Definition (not 4K).

A new person can be added by clicking on the blue”+” icon on the bottom of the People tab.

Once a person is added, they can be set as either as an administrator, remote worker, or both by clicking on the “+” icons under the Admin and/or Remote column. There is no limit on the number of administrators; however,  the number of remote worker is based on your licence, please contact your account manager to change this limit.
